Our Process

Fully onboarded in 120 days.

A structured 120-day journey from first conversation to fully managed IT. Helpdesk and monitoring typically go live in weeks 2–4; the remaining days cover hardening, training, and optimization.

Our Approach

Switching IT providers shouldn't be stressful.

Most businesses hesitate to change IT providers because the transition sounds risky. What if something breaks? What if the new team doesn't understand our systems?

We've built a structured onboarding process designed to reduce those risks. Every step is planned, documented, and communicated — so your team keeps working while we handle the transition behind the scenes.

Whether you're moving from another MSP, an internal IT person, or no IT support at all, the process adapts to your starting point.

What to expect

  • Changes scheduled around your working hours, each with a rollback step
  • A named onboarding lead who coordinates your onboarding from kickoff to go-live
  • Weekly status updates throughout
  • Full documentation of your environment
  • Staff training on new tools and processes
  • Go-live support with rapid response

The 120-Day Journey

Three phases take you from initial assessment to fully managed IT.

Phase 1

Assess & Plan

Days 1 – 30

1

Discovery Call

We learn about your business, pain points, and goals. You learn how we work and whether we're a good fit.

2

Environment Audit

A thorough assessment of your current infrastructure — network, devices, software, security posture, and compliance gaps.

3

Findings & Proposal

You receive a clear report of what we found, what needs attention, and a fixed-fee proposal with no hidden costs.

Outcome: A documented IT roadmap, risk assessment, and agreed scope of services. Once the proposal is signed, helpdesk intake opens and monitoring agents go onto your core devices — typically in weeks 2–4.
Phase 2

Build & Secure

Days 31 – 75

4

Full Agent Coverage

The monitoring and management agents that went in at activation are extended to every remaining device and tuned — patch windows, alert thresholds, asset inventory — without disrupting your team.

5

Security Hardening

MFA rollout, endpoint protection, email security, DNS filtering, and backup configuration. The critical controls go in first.

6

Vendor Coordination

We take over vendor relationships — ISPs, software licences, hardware warranties — so you have a single point of contact for everything IT.

Outcome: Your environment is monitored, secured, and documented. The critical gaps found in the audit are closed, or scheduled with an agreed date and any exceptions recorded in writing.
Phase 3

Optimise & Support

Days 76 – 120

7

Staff Training

Your team learns how to submit tickets, use new tools, and follow security best practices. We keep it practical and jargon-free.

8

Performance Tuning

With a month of monitoring data, we identify slow systems, recurring issues, and optimisation opportunities.

9

Quarterly Review

A sit-down review covering system health, resolved issues, upcoming projects, and budget planning for the next quarter.

Outcome: Fully managed IT with proactive monitoring, trained staff, and a long-term technology plan.

Common Questions

What if we're already with another MSP?

We handle the transition professionally. We'll coordinate with your current provider for access handoffs and ensure there's no gap in coverage. Most transitions happen without your staff noticing.

Do we need to replace our existing hardware?

Not necessarily. The audit in Phase 1 identifies what's working and what needs attention. We work with what you have and only recommend replacements when there's a clear business case.

How much does onboarding cost?

Onboarding is included in your managed IT agreement — there's no separate project fee. The only additional costs would be for hardware or software upgrades identified during the audit, which are always quoted and approved before we proceed.

What happens after the 120 days?

Ongoing managed IT: 24/7 monitoring, helpdesk support, regular patching, quarterly reviews, and a technology roadmap that evolves with your business. Your virtual CIO keeps the roadmap current as your needs change. The hard part is behind you.
